Privacy policy (draft)
Who this covers
This policy will cover two groups: visitors to this website and people who contact us (for example to start a trial), and the law firms that use Intake Efficiency together with the prospective clients who contact those firms.
Two roles
For our own website and sales inquiries, Intake Efficiency decides how personal data is used. For inquiries sent to a law firm that uses Intake Efficiency, the firm decides how that data is used and we process it on the firm’s instructions. Prospective clients should read the privacy notice of the firm they contacted.
What we collect on this website
- What you send us: your name, firm, email, phone, state and message when you start a trial or contact us.
- Basic server logs needed to run and secure the site.
[To confirm before publication: whether any analytics or cookies are used on this site.]
What we process for law firms
- Inquiry details a prospective client sends to the firm, and the messages exchanged.
- Consent records: the wording shown, the channel and the time of agreement.
- Opt-outs, so they are honored.
- The source of the inquiry, for the firm’s reporting.
How it is protected
Data is encrypted in transit and at rest, each firm’s data is isolated in the database, access follows roles, and actions are recorded in an audit log. See the security page for more.
Sharing
We use service providers to send email, texts and WhatsApp messages and to host the service. [List of subprocessors to be added before publication.] We do not sell personal data.
Retention, export and deletion
Firms can ask us to export or delete their data. [Retention periods to be confirmed with counsel.]
